HB Medical

Field software for medical device reps.

Built by people who carry the bag, for the distributors who send them out.

HB Medical builds B2B software for the medical supply chain — connecting distributors to the clinics and hospitals they supply, and serving medical sales reps across the country.

This is the app our own reps carry, and we license it to other distributors. It is a sales tool for reps and the people who employ them, and it holds no patient information at all — not because we could not, but because a rep's account list has no business containing any. It keeps accounts, visits, follow-ups, invoices and commission in one place, and it has an assistant called Bob who does the part nobody wants to do: writing it all down.

“Good visit, he’s interested in the new cage. Call him next Tuesday about pricing, and check in with his PA every two weeks.”
  • Tue 20 Oct Call about pricing on the new cage
  • Every 14 days Check in with the surgeon’s PA
Spoken into a phone in a car park. Two follow-ups, scheduled, without anyone typing.

Where we are today

HB Medical's own reps use this every day. We are taking applications and bringing reps and distributors on in small groups rather than opening sign-ups to everyone, so that each one gets set up properly.

Text reminders begin once our carrier registration clears, which is in progress — nobody may send business text messages in the United States before that, and we are not going to cut the corner. If anything else described here is not finished when you apply, we will tell you before you pay for it.

Call notes, spoken

A rep finishes a case, sits in the car park and talks into their phone. Bob tidies the note into a couple of clean sentences and pulls out what was promised — a call next Tuesday about pricing, a check-in with the PA every two weeks.

Every follow-up it creates shows the words it came from, so a rep can see why a reminder appeared and correct it before saving. Nothing is scheduled behind their back.

Follow-ups that come back

A follow-up with a date turns into a reminder by text or email on the day it is due. A follow-up with a rhythm — every two weeks, every month — schedules the next one the moment the last is marked done, so a cadence survives a busy week.

Reps opt in to text messages and can stop them by replying STOP at any time. We never text anyone who has not agreed.

Invoices and terms

Bill a hospital or surgery center on net 30, 60 or 90, send a payment link that works without the recipient creating an account, and watch the aging rather than guessing at it. Reps can take payments. Reps cannot undo them.

Commission on money collected

Commission is calculated on what the facility actually paid, not what was invoiced, on a sliding scale the distributor sets for each rep individually. A rep can read their own terms and see the band-by-band arithmetic. They cannot change it.

Nobody types a figure in. The rep who ran the case is already on the record from the moment stock was used, so the number falls out of money that moved.

No patient data

This is a sales tool, not a medical record. Notes attach to a surgeon or a facility and there is no way to attach one to a patient — the database refuses it. Dictated notes are cleaned into a summary and the raw recording is discarded.

Territory and stock

Surgeons, hospitals and surgery centers by state, ranked by the procedures they actually bill. Consignment stock tracked by lot, so a rep knows what is sitting in which hospital before the case, not after it.

$49 per month, one rep

Distributor

For a distributor running a team. Everything an independent rep gets, for every rep on the roster, plus the view across them.

  • See your team's visits, follow-ups and invoices — read-only, so you cannot rewrite a rep's work
  • Set each rep's commission scale yourself
  • Invite reps by email; nobody self-registers into your organization
  • Your data is yours alone. No other distributor can see any part of it.
